Rejecting Leads & Providing Feedback

Not every lead will be right for your business. Here's how to reject leads properly and provide helpful feedback to sellers.


When to Reject a Lead

Consider rejecting a lead when:

  • ❌ It doesn't match your service category
  • ❌ The location is outside your service area
  • ❌ You already have this lead (duplicate)
  • ❌ Information is clearly incomplete
  • ❌ You've hit your budget and can't purchase
  • ❌ The lead score is too low for your standards

How to Reject a Lead

Step 1: Access the Lead

  1. Go to Inbound Leads
  2. Find the lead you want to reject
  3. Click to open lead details

Step 2: Click Reject

  1. Click the Reject button
  2. A rejection dialog will appear

Step 3: Select a Reason

Choose the reason that best fits:

Reason When to Use
Poor Quality Lead score too low, information seems unreliable
Wrong Category Lead doesn't match the service you offer
Duplicate You already have this person as a lead
Insufficient Information Missing key details you need
Out of Budget Can't afford to purchase right now
Other Doesn't fit the above reasons

Step 4: Add Feedback (Optional but Recommended)

Write a brief message to help the seller improve:

Good feedback examples:

  • "Lead is for commercial cleaning, but I only do residential."
  • "This person is outside my service area (London only)."
  • "I need phone numbers for all leads—email alone isn't enough."

Keep it:

  • Constructive, not critical
  • Specific, not vague
  • Helpful, not harsh

Step 5: Confirm Rejection

Click Confirm to complete the rejection.


What Happens After Rejection

For You

  • Lead is removed from your Inbound Leads
  • You're not charged anything
  • You can't undo the rejection

For the Seller

  • They receive a notification
  • They see the reason you selected
  • They see any feedback you provided
  • They can improve and resubmit (if appropriate)

Rejection Reasons Explained

Poor Quality

Use when:

  • Lead score is very low
  • Information seems fake or unreliable
  • Details don't make sense

Seller takeaway: They need to submit better-qualified leads.

Wrong Category

Use when:

  • Lead needs a different service than you offer
  • They submitted to the wrong lead request
  • Category mismatch is clear

Seller takeaway: They need to match leads to the right requests.

Duplicate

Use when:

  • You recognize the person
  • They're already in your system
  • You've received this lead before

Seller takeaway: Not their fault—duplication happens. They can submit elsewhere.

Insufficient Information

Use when:

  • Missing required fields
  • Contact details are incomplete
  • Not enough to make a decision

Seller takeaway: They need to gather more complete information.

Out of Budget

Use when:

  • You can't afford to purchase right now
  • Your budget is depleted
  • Lead is fine, just bad timing

Seller takeaway: Nothing wrong with the lead—buyer has budget constraints.

Other

Use when:

  • None of the above fit
  • Always add feedback explaining why

Writing Effective Feedback

Can Sellers Resubmit?

Yes! After rejection, sellers can:

  2. Resubmit to your request (if appropriate)
  3. Submit to a different, better-matching request

Resubmitted leads appear as new Inbound Leads.


Bulk Rejections

If you have many leads to reject:

  1. Go to Inbound Leads
  2. Select multiple leads using checkboxes
  3. Click Bulk Reject
  4. Choose a common reason
  5. Optionally add feedback
  6. Confirm

Note: Use the same reason for bulk rejections. If leads need different reasons, reject individually.

  1. Reject promptly – Don't leave sellers waiting
  2. Always provide feedback – Helps improve future submissions
  3. Be honest – Accurate reasons benefit everyone
  4. Don't reject good leads – If it matches your criteria, consider buying
  5. Review your criteria – Too many rejections? Maybe your requirements are unclear
